About this weekly employee schedule generator

A staff schedule only works if everyone can find their own shifts at a glance, which is harder than it sounds once more than a handful of people are on it. This tool lays out one row per employee against the days of the week as columns, so a name, a shift, and a day line up cleanly — the same shape as a printed roster pinned to a staff room wall, rather than a spreadsheet nobody wants to squint at.

Choose a Monday-to-Friday five-day week or a full seven days starting Monday or Sunday, whichever matches how your business runs. Add a specific starting date if you want actual dates in the header rather than just day names — useful for handing out a specific week's schedule rather than a reusable blank template.

List your staff one per line as Name | shift | shift | ... with one shift per day shown. What goes in each shift is entirely up to you — exact hours like 9am-5pm, a named shift like Morning, or a short code like M paired with a legend line explaining what each code means. Leave a day blank for a day off; it just prints empty rather than cluttered with "OFF" on every row.

A blank "Total hours" column can be added for hand-tallying at the end of the week, since shift text is free-form here and genuinely reliable automatic hour totals would need a much stricter, more rigid input format than a roster like this should demand. As with the other record sheets on this site, you set the row height and the page fills with as many staff rows as actually fit — if your team is too large for one page at the row height you have chosen, the tool says so rather than quietly cutting names off the bottom.

Everything is generated in your browser and saved locally between visits. Nothing you type about your staff or their shifts is uploaded anywhere.

Frequently asked questions

Can shifts be exact times instead of shift names?

Yes — each shift cell is free text, so 9am-5pm, Morning, and M (paired with a legend explaining the code) all work equally well. Use whatever convention your team already understands.

Does it calculate total hours automatically?

No — shift entries are free text rather than a strict time format, so automatic totals would be unreliable. Switch on the blank "Total hours" column instead and tally it by hand, which works regardless of how you write your shifts.

Why does the date not match the day name I expected?

The week-starting date and the week-type setting are independent — the date shown is simply that date plus one day, two days, and so on across the row. Make sure the date you enter actually falls on the first day of the week type you have chosen.

My staff list does not fit on one page

The tool tells you exactly how many rows fit. Reduce the row height, use a smaller page margin, or print a second sheet for the remaining staff.

My shading is not printing

Look for a "Background graphics" or "Print backgrounds" option in your print dialog and switch it on — some browsers strip shading and colours from printed pages by default.
